ID CARDS

How do I get a student ID card?
Clayton and Caulfield students
You will receive a slip from Student Administration during Orientation, which you will need to take Monash Connect on your campus. This slip will then be exchanged for a student ID card.

City students
You can obtain your Monash Student ID card at the Student Administration counter, Level 3, 222 Bourke Street during the first week of your course at the following times:

  • MUELC students: 11am – 12pm OR 1 pm – 2pm (Monday to Friday)
  • MUFY students:  1pm – 2.30pm (Monday to Friday)

Please bring your passport and ‘Authority to Enrol’ form with you.

My ID card is expired. Do I need a new one?
Yes, you need a valid student card while you are studying at Monash College.
To get a new one, follow these steps.

I’ve lost my ID card/City campus wristband. How do I get another?
You will need to pay for a new ID card or wristband. Please complete an application form and make the payment at reception. You will receive your new ID card or wristband on the following business day.

How do I get my OSHC card?
You need to order the card online at the OSHC website . You will need your policy number to complete the online form.

What is my policy number?
Your policy number is your student ID number.

My health cover is expired. What do I do?
You can see an OSHC representative on campus.

CHANGE OF PERSONAL DETAILS

How do I change my postal address?
You can change your postal address on the Web Enrolment System (WES).
For students who are under 18 years old, you will have to complete a Change of Details form. The form is available at the reception at the Clayton or City campus.

Why do I need to give Monash College my postal address?
International students have a visa requirement to provide the institution with your most up-to-date address. Monash College may also need to post you important information.

How do I change my personal email address?
To change your personal email address (the one that you used to apply for Monash College), you will need to send an email to scenquiries@monash.edu.

What is the difference between postal address and home address?
Home address: generally your address in your home country if you are an international student.
Postal address: your current address. Monash College will send mail to this address.

STUDENT ACCOUNT ISSUES

I forgot my password. How do I get a new password?
Contact the IT Service Desk to reset your password. You will be given a temporary password, but you must change it to a personal one within 24 hours.

How do I change my Monash account password?

  • Log onto my.monash.edu.au
  • Visit the Quick Links on the left hand side of the page
  • Click on ‘Change My Password’ and follow the prompts

I cannot access Moodle. Who do I contact?
The first step is to contact your teacher or education advisor. If you are still unable to access Moodle, you can contact the IT Service desk on +61 3 990 32777.

My account has been blocked. Why?
Your Monash account can be blocked for the following reasons:

  1. You have not paid your fees. Solution: pay your tuition fees as soon as possible.
  2. You have not changed your postal address. Solution: Update your postal address by following these steps.
  3. You have lost or forgotten your password and tried logging in with the wrong password too many times.

Solution: Contact the IT Service Desk to reset your password.

ACADEMIC DOCUMENTS

How do I apply for academic documents?
Fill out the online form to apply for academic documents.

I lost my certificate/testamur. How do I get a new one?
You will need to fill out an Application for a Replacement Testamur/Certificate form.

  1. Download the form online.
  2. Complete the form including the ‘Statutory Declaration’ section.
  3. Once completed, submit the form at reception at your campus.
  4. It will take up to two working days to process.

How long does it take for my academic document to be processed?
Academic documents are usually processed within two working days, however sometimes it may take longer depending on the situation.

I have applied for an academic document from overseas. How long will it take to arrive?
If you are overseas, it will take up to eight weeks to arrive once processed. All documents are sent via normal post.

Can I ask a friend or relative to collect the document on my behalf?
You can ask a friend or relative to collect your documents. However, you will need to provide them with an authorisation letter stating that you allow them to collect the document on your behalf.

The authorisation letter needs to include:

  • Your full name.
  • Your student ID number.
  • Your friend/relative’s full name.
  • Your friend/relative’s identification number.
  • The type of ID your friend/relative will show on the day of collection.

FEES

How do I access my invoice?
Your invoice is called a ‘Fee Statement’. It will be emailed to you two weeks after enrolment.
A copy of your statement will still be available on the Web Enrolment System (WES).

How much do I owe?
Your ‘Fee Statement’ shows the units that you are currently enrolled in and your tuition fee balance.

What is a census date?
The census date is the last day for students to discontinue a unit without having to pay for the unit. If you discontinue any units after the census date, you will need to pay the fees.

Has Monash received my fee payment?
You can check your payment history and fee balance on the Web Enrolment System (WES):

  • Visit WES
  • Click on the Fees/Scholarships tab.
  • Click on the Fee Statements tab.
  • You can check your payment history anytime from the ‘Payments and Refunds’ tab.

The refund policy is stated on your offer letter and on MCPL’s website. Please read it carefully before you apply for discontinuation from your courses.

How do I apply for an extension on my fees?
Foundation Year and Diploma students
You can apply via the Web Enrolment System (WES), before the payment due date.

  • Visit WES.
  • Click on the Fees/Scholarships tab.
  • Click on ‘Apply for a fee payment extension’.
  • You will receive a response within five working days.

English Language
English Language students are not eligible for an extension and cannot apply via the Web Enrolment System. However, if you experience unexpected financial difficulties, please contact the Fees Coordinator by sending an email to mcfees@mcpl.edu.au.

How do I remove a block due to unpaid fees?
Submit a payment and email evidence to student.admin@mcpl.edu.au. The block will usually be removed within 24 hours.
Sponsored students may be blocked if the Monash University Fees Unit has not received your Financial Guarantee (FG) or your scholarship letter. Please email your FG to student.admin@mcpl.edu.au. Once the FG is received by MU Fees Unit, the block will be removed within 24 hours.

How do I get a receipt to claim reimbursements from my sponsor?
If you need a receipt to show you paid the initial application fee, administration fees and OSHC, please send your request to irsfees@monash.edu.

How do I submit my refund application to Monash University Student Finance?
You can submit your application in three ways:

  • In person at Monash Connect on your campus
  • By fax on (03) 9543 9319, or
  • By mail to Student Finance, Building 3C, Monash University, VIC 3800, Australia.
